Trips you deduct, and trips you pass on

The tax authority asks, per trip, for the date, the starting point, the destination, the number of kilometres and the business purpose. Anyone reconstructing that afterwards from their calendar does it once a year, reluctantly, and rarely completely.

Record a trip on the day it was driven and the registration is done straight away. If the trip belongs to a job or a project, you link it there and pass it on to the client in the same movement.

A trip that is already on an invoice can no longer be deleted. That is not strictness for its own sake: your administration has to keep matching what you sent out.
