Client portal
Your client does not have to call to know where they stand
Most of the questions a client asks are ones they could answer themselves if you gave them the place: which invoice is still open, what was in that quote again, what exactly was done on that Tuesday.
In the client portal they see their own invoices and pay them directly, accept a quote digitally with their name as the signature, and view the work orders for the work carried out, with photos and their own signature.
You arrange access per contact person from the client file. Every client sees only their own data, and that is not managed in the screen but enforced in the database.
Paying invoices
The outstanding amount with a payment link, without searching through old email.
Accepting quotes digitally
Fill in a name and agree; on your side the quote is then marked as accepted.
Viewing the work order
Hours, materials, photos and signature, without your purchase prices and margin.
Sharing documents
What you share with this client sits in one place instead of in an email attachment.
Support questions
Your client asks a question in the portal, you answer it in the app.
Its own portal address
A separate link per company that you can share with your clients.
What a customer wants to know without calling
Is my invoice still open, has the quote been sent, when is the technician coming, and where is last month's work order. For every question the customer calls or emails, and you look it up. It is work that yields nothing and that the customer would rather have done themselves, had there been somewhere to look.
TelMaar's customer portal is that place. The customer logs in with a link from the email and sees their quotes, invoices, work orders, equipment and appointments together. They approve a quote, pay an invoice and download a work order, all without your involvement.
What the customer does and does not see
The customer only sees their own data: not that of other customers, not your purchase prices and not your internal notes. What they see is in their own language, while the invoice itself stays Dutch. A property manager with several buildings sees the equipment and history per building.
A quote the customer approves in the portal gets a date and a name, and you get a notification. Payments through the portal arrive with the right reference. And because the customer can see for themselves when the technician is coming, the morning phone calls disappear.
Frequently asked questions about this feature
What can my client do in the portal?
View their invoices and quotes, accept a quote digitally, look at the job sheet of a job and download shared documents.
Does my client have to create an account?
No. They come in through a personal link, so you do not have to make them invent a password.
Will it save me phone calls?
Usually. The questions that come up most, which invoice is still open and what was in that quote, they can answer for themselves.
